Job Summary The role is to provide crucial support to the School Registrar and the Quality Assurance Manager, as well as to organize and direct clerical and functional operations within area of specialization (i.e. School Management System, NWEA, Student Reports, MAP Test Reports, Personal Data Protection Acts/PDPA, Accreditation and Governmental Management System etc.). This includes addressing questions, concerns with a solution based approach to the team under the general direction of the School Registrar and the Quality Assurance Manager. The Quality Assurance Assistant is expected to handle multiple responsibilities, solve complex problems, ensure that systems and processes meet service expectations and assure the integrity, security, condition and access to the documents and supervise the issuance of official documents. Duties and Responsibilities * Create, collect and regularly update the school database following the Ministry of Education (REGIS), ONESQA and any organisations’ requirements under the School Registrar’s guidance. * Support the School Registrar in maintaining and managing the school management system (i.e. Tapestry, Toddle), school management software (NWEA-MAP and in-house online system) and serve as a supporter of the school management system related to student information and student reports. * Ensure the school report cards (term report, end year report and progress report) are completed in the school management system and cautiously check in every detail before the School Registrar sends them to parents in a timely manner. * Ensure data in the online school systems is regularly updated by teachers and accurate. * Ensure the accuracy of student records and provide data summary/analysis of the school database as required by the government and any other organisations. These records include, but are not limited to, attendance, nationalities, grades, parents’ information under the School Registrar’s guidance. * Cautiously check information required by school departments and external organisations, such as student reports, MAP reports, student data on REGIS, to meet appropriate standards before sending to recipients. * Ensure the smooth running and efficient organisation of both computer-based and paper-based files and data. * Prepare and provide monthly report on student/staff numbers to the Chiang Mai Provincial Education Office and School Management Team. * Prepare a school letter to parents as requested e.g. bank opening, tourist visa, school transfer. * Support the School Registrar in setting up schedule, location, and operation (for any online assessments (i.e. NWEA MAP test etc.) * Assist in supporting and regularly monitoring all school files from different departments in relation to PDPA. * Translation of any required documents into Thai or English as needed. * Prepare and deliver a nice presentation or any necessary statistical data. * Set up a meeting schedule and take minutes as needed.
